Wildmarathon is a brand created by Geo-Planet sports events in union with Makalu adventure Travel company registered with Licence No: 421 / 2055 as our touroperator. Our goal is to offer an unforgettable running experience that consists of the race and parallel activities in some of the most extraordinary places on the planet.

Please read and understand the conditions of booking set out below prior to booking a running experience with us. We recommend that you also read the Essential Information relating to your program prior to booking to ensure that you understand the itinerary, style, and physical demands of the race experience that you are undertaking with Wildmarthon. Reference to “us”, “we” “ the company” and/or “our” in these booking terms and conditions

  • These Terms and Conditions apply to any race experience booked with Wildmarathon, and will govern the contractual relationship between Wildmarthon and yourself. Please read these Terms and Conditions carefully as by booking any race experience with us, you acknowledge that you have read and understood these Terms and Conditions and you accept and agree to be bound by these Terms and Conditions.
  • Our Contract:

By booking a race program with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us) and your booking will be accepted by us on this basis. The services to be provided are those referred to in each particular trip booking with clear mention of trip cost and the services being included or excluded therein (accommodations, aid stations, transfers… all everything that each event includes (see at each event what’s included)

Acceptance of Booking:

If we accept your booking, we will confirm the booking by same communication methods (email communication by and large unless and otherwise communicated by different means).

A ‘trip’ refers to any itinerary or activities that you buy with us including the marathon/half marathon/10k and other activities included as Trekking, diving, safari, and/or other adventure and tour programs parallels to the race.

A partial booking is confirmed and these Terms and Conditions shall apply when Wildmarathon has received the applicable 10% deposit from the participant application in the official platforms (Worldsmarathon and Runnedia) and the client has received written confirmation from us, then the participant must continue the booking in the official webpage to complete the 90% remaining. The participant confirming the trip booking must be 18 years of age and above and agrees to provide full, complete, and accurate information as requested by Wildmarathon to confirm the booking.

*You will be required to make a deposit of 10% of the total trip cost per person at the time of booking the trip via the official payment platforms World’s marathon or Runnedia. You can pay the remaining amount in our webpage in two parts.

Payment Methods:

Booking deposit can be made by bank transfer or by Credit Card in official payment platforms World’s marathon and Runnedia for the 10% of the total value and then you have to continue the payment progress in Wildmarathon webpage

Regisration forms:

Please complete the necessary details in the form including your jacket size, age, name, club or if you register as INDIVIDUAL, TEAM or COMPANION

Please note that we are not liable for any delay or loss of funds during the transfer process. If in the case due to use of mediator bank or any other reasons if the money received by us is less than the amount sent, you are requested upon arrival to pay the difference so that the total amount is equivalent to the actual product cost offered.

Once you have initiated the payment transfer you can then email us the bank reference number or remittance slip which will help us track the payment and acknowledge the receipt of payment into our bank account.  Sometimes banks tend to forward the payment with a different name and for this reason, if you send us the reference number/remittance slips and sender’s details, it will be easy for us to keep track of the payment you sent and received into our account.

  1. Your Details:

In order for us to confirm your travel arrangements, you must provide us with all the requested details as and when necessary and when requested by us. Necessary details vary by DESTINATION: they include but not limited to full name as per passport, date of birth, nationality, passport number, passport issue, and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements.

  1. Cancellation Policy
  2. Cancellation by the client:

Any cancellation by a client must be made in writing and acknowledged by the company. The date on which a cancellation request is received by us will determine the cancellation charge applicable which are as follow:

The cancellation charges are expressed herein as a percentage of the total tour price per person and not of the deposit amount the client has sent as a deposit when booking the trip.

Upon 3 months prior notice: 5 % Cancellation fee is applicable
Upon 2 months prior notice:10 % Cancellation fee is applicable
Upon 1-month prior notice:25 % Cancellation fee is applicable
Upon 15 days prior notice: 50 % Cancellation fee is applicable
Less than 15 days prior notice:  100 % Cancellation fee is applicable

Cancellation of a tour by the Company: We strongly encourage clients to purchase trip cancellation insurance. This low-cost insurance protects all deposits and payments should they have to cancel their trip due to personal or family illness/circumstance etc. Baggage and accident insurance is also available.  

Wildmarathon reserves the right to cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political unrest/instability or any other external and external events which makes it impossible for us to run the already scheduled trips.

If a tour is cancelled by Wildmarathon before the agreed date of departure for reasons not arising from Force Majeure or the fault or negligence of or within the reasonable control of the client, the client shall have the choice of:

  • Accepting from Wildmarathon. a substitute race experience trip of equivalent or superior value, where such substitute is reasonably available; or
  • Accepting from Wildmarathon a substitute race experience trip of lower value if no tour of equivalent or superior value is reasonably available, and to recover Wildmarthon the difference in price between the price of the tour originally purchased and that of the substitute tour; or
  • Accepting from Wildmarathon a full refund of all monies paid for the canceled trip.

Wildmarathon is not responsible for any incidental expenses or consequential losses that the client may have incurred as a result of the canceled booking such as visas, vaccinations, non-refundable flights or rail, nonrefundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

Medical conditions and special requirements:

Wildmarathon must be notified in writing at the time of booking of any medical conditions, physically challenged conditions or any other mental and or physical condition which may affect fitness to travel and or any medical condition. Failure to notify the Company may result in the client being refused travel.

Every runner/participant by accepting the race rules confirms that is in good health and conditions to carry out the marathon/half marathon / 10k. Some running experiences may be unsuitable for Clients due to age, mobility, pregnancy or physical or mental conditions. It is the Client’s responsibility to check in the webpage the program, altitude profile, distance, temperatures or type of terrain prior to booking.

Covid-19 Protocole:

If the situation of the pandemic due to covi-19 required it, we would implement anti-covid protocols if necessary. Our logistics partners will treat groups in a restricted way in small groups so as not to mix with other groups if necessary, both in hotels and in activities and transfers. The events are by no means massive, and the number of registrants may be limited if necessary. Food handling will be done with sanitary measures and disinfection. Travel insurance:

Adequate and valid travel insurance is compulsory for all travelers. In some events the organization will include it and in others like Nepal it will not, but it will provide appropriate insurance. The travel insurance must cover accidents, injury, illness, and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue in the case of Nepal), and personal liability. The organization provides sanitary service along with the race. We also recommend it covers trip cancellation, curtailment and loss of luggage and personal effects. You must carry proof of insurance with you and produce it if reasonably requested by the company employees or suppliers. The company reserves the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time, including after the commencement of your trip.

Flight delays and changes in the itinerary:

We design the best program for your running experience including recommended arrival-departure dates but this is not mandatory. Anyhow, in the case of delayed flights (International flights), the client is responsible to bear all additional expenses including food and accommodation costs. If the client wishes to make alternative arrangements such as Helicopter flight to avoid flight delays to join the group, all additional cost would be the client’s responsibility. But what is inflexible is the date of the race so the participant must arrive prior to the start of the marathon/hal marathon / 10k day.

Moreover, Wildmarathon does not accept any responsibility for costs incurred as a result of missed international flight but would assist to make alternative arrangements wherever possible.

VISA & PASSPORT:

You must carry a valid passport and have obtained the appropriate visas when travelling. Please ensure your passport is valid for 6 months beyond the duration of the trip.

It is your responsibility to ensure that you are in possession of the correct visas for the countries you are travelling to. Wildmarathon cannot accept responsibility if you are refused entry to a country or places because you lack the correct visa documentation.

Injuries and evacuation:

In every race, we will have medical personnel to be able to evacuate the participant if necessary, even by air means as in the case of Nepal, but it must be understood that the speed of assistance may depend on the orography of the terrain or weather conditions. anyhow, Wildmarathon would not be liable for any injury/health conditions/emotional or other conditions suffered by the client during the race. Hence, we advise the clients to take adequate insurance packages that the organization will supply.

Services missed or unused:

There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination/departure from the tour, i.e. sickness, death of a family member etc, late arrival on the tour, or premature departure either voluntarily or involuntarily.

Updating of terms and conditions:

Wildmarathon reserves the right to update and amend these terms and conditions at any time. It is the responsibility of the Client to keep updated with any changes. The current version of terms and conditions will always be found on the website and will be the terms referred to in any dispute.

Race rules:

For each race, the participant must read carefully the terms and conditions in the race rules statement.

The organization establishes 42k, 21k and 10k distances in each race to better adapt to the conditions and targets of each runner.

The participants can register as INDIVIDUAL, TEAM-COMPANY (until 5 members) or COMPANION and the organization establishes these categories:

GENERAL FULL MARATHON 42K 3 First classified men and 3 first classified women

GENERAL HALF MARATHON 21K 3 First classified men and 3 first classified women

GENERAL 10K 3 First classified men and 3 first classified women

TEAM / COMPANY CATEGORY 1st team men and 1st team women or mixed

If necessary for just cause or force majeure, the organization reserves the right to modify the itinerary of the race, controls, activities, schedules, provisioning and these regulations.
If the health workers decide to withdraw a participant because they consider it necessary, he or she would have to abide by that decision for their safety. In the same way, the sports director has the power to withdraw a participant for unsportsmanlike behavior or penalize him for breach of the regulations, skip part of the route, etc.
Any claim will be made at the end of the race, in writing, and discreetly. Wildmaraton offers experience and the objective is that all participants enjoy and encourage fair play during the race. Any grievance, if any, should be dealt with directly with the organization and not publicly.
Registrations will be made in advance through the official pages: Marathon World or Runedia. Paying 10% of the registration as a deposit and the rest in two payments on the official website Wildmarathon.com

Dropouts:

The runners who decide to leave are in the OBLIGATION of COMMUNICATING IT to the telephones that the organization facilitates.
If a meteorological event or catastrophe occurs that prior to the trip, the organization will take care of the return of the registrations. If this event occurs during the trip or race, the organization reserves the right to change the date, not having to return the registration fee but being able to return partially evaluating the particular case.

Environment:
Wildmarathon offers each participant the possibility of visiting some of the most extraordinary locations in the world but are also sites with high vulnerability, therefore the runner must be respectful of the environment, being STRICTLY PROHIBITED throwing waste out of the places authorized for it or generating damage to the natural environment. The organization has containers for the collection of waste in each supply area and we appreciate you making use of them. Failure to comply with this rule may mean the disqualification of the participant by the organization. Likewise, it is forbidden to alter the environment. Lack of sports ethics and morals, disobedience to the authorities, security means, or organizers may also be cause for disqualification.

Image rights:
The participant, through their registration, agrees to assign the image rights to the organization for graphic and audiovisual dissemination for the exclusive use of the event, as well as the personal data required in the registration form that will be used for the communication-promotion of the event

Disclaimer
Each marathon requires a good physical condition and adequate training to carry out the event. Registration by the runner implies to the organization that it is aware of it and that it is fully empowered to complete it, so it will be responsible for its performance and will assume risks involved in participating in the race, freeing the organization of derived responsibilities of accidents or incidents even with third parties, likewise, the organization will not be held responsible for any loss of material suffered during the event if it were not for justified cause of the organization.

• The participant assumes that it is their risk and counts to participate in the race. The organization seeks the safest route and means but cannot be held responsible for any external cause outside the organization’s control.

Registering for this race implies full acceptance of these regulations
